Job Summary
The Office of the Registrar seeks a Program Management Specialist to join our team. In this role, the Program Management Specialist will be responsible for accurately and efficiently entering large amounts of data into our computer systems. The successful candidates will have strong attention to detail, experience with data entry and verification, and excellent typing and computing skills.
Job Duties
Duties & Responsibilities:
- Perform clerical functions and assist with office operations related to record rebuilding, archiving, imaging, and maintenance.
- Process official transcripts and perform data entry.
- Processes various documents requiring knowledge of relevant departmental policies and procedures and interaction with other team members; Assembles, compiles, and edits data and records using Banner.
- Proofread to ensure a quality product and identify errors and omissions in materials, expediting resolution.
- Analyze workflow processes, propose solutions, resolve problems/issues, prepare reports, analyze data, provide recommendations to improve workflow, and ensure appropriate use of the student information system.
- Follow FERPA as well as state and federal regulations.
- Support student information system Banner data entry and validation, training, electronic document research and workflow management, and production of student evaluation reports.
- Troubleshoot student information systems and related systems to ensure efficient and effective use of resources.
- Follow Maryland Higher Education Commission (MHEC) policies to comprehend institutional accreditations and policies.
- Enter course equivalencies into the Student Information System Ellucian Banner, Smartsheet, or similar, and the College Source Transfer Evaluation System (TES).
- Research transfer institutions to determine their accreditation, type, degree levels, calendar system, course numbering, grading system, and course transferability.
- Assist with quality assurance review and participate in projects to develop and improve processes and resources.
- Contribute to the department's continued improvement by actively participating in meetings, training sessions, presentations, and professional development opportunities.
- Transfer data from paper formats into computer files or database systems using keyboards, data recorders, or optical scanners.
- Type in data provided directly from internal and external customers.
- Verify data by comparing it to source documents.
- Retrieve data from the database or electronic files as requested.
- Accurately enter transfer credits into the student information system for evaluation.
- Assist with transfer credit evaluations and accurately enter equivalencies into the student information system.
- Perform other job-related duties as assigned.
Requested Minimum Qualifications
Education, Skills, and Experience Required:
- High School Diploma/GED, some college.
- Minimum of 1-2 years of experience in data entry or a related field.
- Excellent typing skills, with a minimum typing speed of 50 words per minute.
- Highly motivated and able to implement oral and written instructions. Must exhibit prompt decision-making while researching to be able to provide diplomatic judgment calls.
- Have strong attention to detail and accuracy.
- Ability to work independently and manage multiple tasks simultaneously.
- Experience with data entry software and databases.
- Ellucian Banner Student Information System (SIS), or other Student Information System, CollegeSource Transfer Evaluation System (TES®), or other computerized student information systems.
- Cloud-Based Document Management System (e.g., Ellucian Banner Document Management), Google Suite Platform, Email Management System (or Customer Relationship Management-CRM, Smartsheet, EAB, etc.), organizational skills, and the ability to prioritize tasks effectively.
- Excellent written and verbal communication skills. Must be able to communicate the university and office of the registrar policies and procedures respectfully and effectively.
- Ability to work well in a fast-paced, deadline-driven environment.
Physical Requirements:
- Ability to move about campus to attend/conduct meetings and training within the Morgan State University community.
- Ability to interact via telephone, in-person, and electronic media.
- Typical office environment. Extended periods of sitting and working at a computer are commonplace.
Other Preferences for Consideration
Associate's or Bachelor's degree preferred.
Knowledge, Skills & Abilities
Excellent communication and interpersonal skills to engage effectively with the campus community and customer base.
Proficiency with Google Suite and other standard technology.
