Description
DescriptionHackettstown Animal Hospital is seeking a friendly, reliable, and detail-oriented individual to join our team as a Full-Time Receptionist. As the first point of contact for our clients, this role is essential in creating a welcoming experience while keeping daily operations running smoothly. The ideal candidate is organized, tech-savvy, and able to multitask in a fast-paced environment.
Hours: 30-35 hours per week, including Saturdays
Compensation: $16-$18/hr depending on experience
Key Responsibilities
Client Experience & Front Desk Support
- Greet clients and patients warmly and professionally
- Check clients in and out efficiently using our practice management system
- Provide clear information about services, policies, and next steps
Appointment Scheduling & Coordination
- Schedule and manage appointments using digital scheduling software
- Coordinate appointments across multiple doctors and technicians
- Triage and prioritize urgent or same-day appointment requests
Communication (Phone, Text, Email)
- Answer incoming calls and respond to client inquiries professionally
- Communicate with clients via phone, email, and text platforms
- Relay messages accurately and promptly to medical staff
Electronic Medical Records (EMR)
- Maintain accurate and up-to-date digital patient records
- Enter notes, update client information, and upload documents as needed
- Assist clients with completing digital forms when applicable
Payments & Transactions
- Process payments (credit/debit, digital payments, cash)
- Provide invoices, receipts, and basic billing support
- Balance transactions and maintain accurate financial records
Administrative Support
- Assist with general administrative tasks such as data entry and document management
- Support veterinarians and technicians with workflow coordination
- Help maintain a clean, organized, and welcoming front desk area
Qualifications
- Previous veterinary or medical front desk experience preferred
- Strong communication and customer service skills
- Comfortable using computers, scheduling systems, and digital tools
- Highly organized with strong multitasking abilities
- Positive, team-oriented attitude
- Ability to stay calm and efficient in a fast-paced environment
- Availability to work 30-35 hours per week, including Saturdays
