Department Philosophy
Job Description
The Office Manager performs duties for the Philosophy and Religion Departments to ensure the smooth operation of the office by supporting the various programs within the three departments, assisting chairs in departmental operations, and providing administrative support to faculty for their teaching and scholarly activities. This position is benefit eligible and work hours will be 40 hours/week from August - mid May and 10-15 hours/week for the last two weeks of May, June, and July.
Responsibilities include, but are not limited to:
• Responsible for general receptionist responsibilities (answering telephones, mail, greeting visitors/students)
• Work with department chairs to construct course schedules, compile annual reports, and other departmental functions
• Organize and track departments' operational budgets
• Maintain office supplies
• Place orders for exam & desk copies of textbooks
• Provide administrative support for their teaching and scholarly activities
• Provides supervision of student workers and employees
• Maintain websites of the two departments
• Maintain social media presence for the two departments
• Develop marketing and publicity material for both departments
• Manage and generate budget reports
• Assist in the coordination of the mentoring program for first- and second-year faculty
• Support faculty position searches
• Oversee documentation for faculty reviews and promotions
• Sort and organize assessment data
• Communicate with majors and minors on upcoming events
• Reserve rooms, order food, and communicate with invited guests for various academic and social events
Qualifications
• High School diploma required, bachelor's degree preferred
• Excellent grammar, proofreading, & writing skills
• Strong interpersonal communication skills
• Ability to work with minimal supervision
• Mastery of Microsoft Office suite (especially Excel) as well as the entire Google suite preferred, with the ability to learn additional computer programs as needed
• Ability to learn other office programs like the college's Banner software and EMS (the college's events management system)
Physical Demands
This position requires remaining in a sitting or standing position for frequent periods of time; uses office machinery such as a computers, printers, copy machines; Occasionally involves moving items over 10 pounds; frequently will move between different offices/workspaces/buildings; and requires effective communication abilities. In the case of temporary or permanent condition(s) that require(s) accommodation(s), reasonable accommodation(s) may be requested.
