Description
What you will be doing:
Group Benefit and Wellness Programs
Administer employee benefits programs: medical, dental, vision, life insurance, disability, spending accounts, wellness programs and voluntary plans.
Address benefit-related issues, queries, and requests from employees, providing prompt and effective resolutions.
Manage benefits onboarding process for new hires to include conducting new hire benefits orientation.
Process enrollments and changes: new-hire enrollment, qualifying life events, and terminations in the HRIS system and vendor notifications.
Update/maintain manual processes such as beneficiary updates, non-EDI vendors, affidavits and statements of other coverage.
Accurately, maintain data changes in HRIS , carrier and vendor systems.
Administer leave programs such as FMLA, Parental and STD/LTD claims, collaborating with the employee and disability carrier.
Coordinate with insurance companies, broker and third-party administrators to resolve discrepancies and manage plan performance.
Lead Wellness Committee by facilitating meetings, challenges, annual Health Fair and quarterly incentive payments.
Assist with annual benefit renewal budget projections
Assist with annual Open Enrollment planning and execution.
Lead open enrollment communication and employee meetings.
Update HRIS system with benefit plan, rate and option changes.
Help develop benefit communication such as guides, FAQs and onboarding materials.
Compliance
Ensure compliance with state and federal regulations (FMLA, ERISA, ACA, ADA, HIPAA, COBRA, Section 125 and DOL requirements)
Coordinate quarterly dependent audit with third party vendor.
Assist with compliance testing and required annual filings.
Prepare and facilitate mailing of required notices to employees, as needed.
Support audits and reporting for internal and external audits.
Maintain, update and distribute Summary Plan Description (SPD), Summary Material Modifications (SMM) and annual notices. Maintain and follow record retention guidelines
Internal Process
Collaborate with the payroll department to ensure accurate processing of employee/employer contributions and payroll deductions
Draft and maintain benefit process mapping.
Assist HRIS Administrator with creation of Total Rewards Statement.
Billing
Manage billing reconciliation, review invoices, verify accuracy and work with Benefits Analyst for processing.
Assist with electronic data interface (EDI) errors and discrepancy reporting.
Document and Data Management
Accurately maintain employee benefit related documents for electronic filing and retrieval in electronic employee document management system.
Run HRIS reports and utilize internal dashboard for routine employee data auditing and business needs.
Partner with Benefits Analyst for data reporting and file feed requirements.
Partner with Benefits Analyst to maintain and update SharePoint benefits page.
Maintain benefit related agreements and contracts in electronic contract management system.
Requirements
Minimum Requirements:
Bachelor’s degree in Human Resources, Business Administration or a related HR field.
Minimum five years’ experience in benefits administration.
Previous work experience managing set up of multiple benefit plans and open enrollment.
Previous work experience working with benefits third party vendors.
Proficient with Microsoft Office Suite including Excel, Word, and Power Point.
Proficiency with Human Resources Information Systems (HRIS).
Working experience with labor and benefits laws

PREFERRED:
CEBS (Certified Employee Benefits Specialist, CBP (Certified Benefits Professional, SHRM Certified Professional (SHRM-SCP/ SHRM-CP) or HRCI Certified (SPHR/PHR) preferred.
